About the role

The Receptionist will be the first point of contact for employees, suppliers and visitors at the corporate headquarters. The role ensures smooth handling of documentation, meeting room bookings and supports several internal departments with administrative tasks.

Key responsibilities

• Manage and coordinate reservation of meeting rooms based on demand.
• Distribute discount cards and credit cards to associates for Benefits and Treasury departments.
• Assist the Monitoring area with warehouse deliveries and controls.
• Prepare monthly reports on associates benefiting from financial services.
• Support HR by receiving assets from departing employees and consolidating monthly data.
• Maintain records of space allocations, deliveries and reservations.
• Compile monthly data on taxi voucher usage across vice‑presidencies.
• Review contract validity with administrative service providers and request renewals.
• Coordinate emergency kit inventory and ensure compliance with local legislation.
• Generate purchase quotations, orders and monthly procurement funds.
• Assist Administrative Services managers with daily tasks and vehicle mileage reporting.

Required profile

• Strong organizational and coordination abilities.
• Attention to detail and accuracy in documentation handling.
• Excellent communication skills for interacting with internal and external stakeholders.
• Ability to work autonomously in a fast‑paced corporate environment.
