Intake Specialist

About the role

The Intake Specialist serves as the first point of contact for prospective clients, guiding them through the initial evaluation and onboarding process. This position requires a detail‑oriented and compassionate approach to ensure a smooth experience for individuals seeking legal assistance.

Key responsibilities

• Conduct initial consultations with potential clients and gather relevant information to assess case eligibility.
• Follow up with leads via phone, email, and text to convert prospects into clients.
• Maintain accurate and detailed notes, updating lead status in the system as needed.
• Obtain all necessary signed documentation to successfully retain clients.
• Provide a professional and welcoming first‑contact experience.
• Direct prospective clients to appropriate resources and manage urgent matters efficiently.
• Assist with administrative tasks to support daily firm operations.

Required profile

• High School Diploma or equivalent.
• Previous intake experience, preferably in a law firm setting.
• Ability to handle and analyze multiple intake calls daily.
• Strong understanding of intake processes with a client‑focused, empathetic approach.
• Excellent written and verbal communication skills.
• Strong organizational skills and high attention to detail.

Required skills

• Experience with FileVine or other legal case management software (preferred).
