Maintenance Coordinator

About the role

We are seeking an organized and proactive Maintenance Coordinator to manage maintenance requests, coordinate vendors and technicians, and ensure property issues are resolved quickly and efficiently. The role supports multiple properties and works remotely, requiring strong communication and follow‑through.

Key responsibilities

• Receive, review, prioritize, and track maintenance requests from tenants, guests, property managers, and internal teams.
• Coordinate repairs with technicians, contractors, and vendors, scheduling appointments and providing necessary access information.
• Follow up on open work orders, ensuring issues are resolved within expected timelines and handling urgent or emergency situations.
• Obtain and compare estimates, escalating higher‑cost repairs for approval.
• Maintain accurate records of work orders, invoices, photos, estimates, and completed repairs.
• Monitor recurring issues and identify preventative maintenance opportunities.
• Update property management systems and internal tracking sheets, and verify quality before closing requests.

Required profile

• 2+ years of experience in maintenance coordination, property management, or facilities management.
• Strong experience working with contractors, handymen, plumbers, electricians, HVAC technicians, and other vendors.
• Excellent communication, follow‑up, and organizational skills.
• Ability to prioritize multiple work orders based on urgency and impact.
• Comfortable handling emergency maintenance situations.
• Detail‑oriented with solid documentation practices.
• Proficient in Google Workspace and property‑management/work‑order software.
• Capable of working independently in a remote environment.
• Fluent English, both written and verbal.
