Medical Scheduler

About the role

We are looking for a highly organized Medical Scheduler to coordinate a high volume of patient appointments across multiple locations. The role involves managing inbound and outbound communications, ensuring accurate documentation, and keeping schedules fully utilized in a fast‑paced healthcare setting.

Key responsibilities

• Handle approximately 70+ inbound and outbound calls daily from patients, law firms, insurance companies, and physicians.
• Schedule 50+ appointments each day, meeting operational targets for up to 11 locations.
• Proactively identify and fill schedule gaps to achieve near‑100% utilization for the upcoming week.
• Review patient paperwork before scheduling to confirm complete clinical documentation.
• Create and maintain patient profiles with accurate demographic, insurance, and lien information.
• Update electronic medical records with precision and consistency.
• Understand each location’s equipment, modalities, and provider preferences.
• Provide professional communication to patients and external partners throughout the scheduling process.

Required profile

• English proficiency at B2 level or higher.
• At least 1 year of experience in a high‑volume call‑center or BPO environment.
• Ability to multitask, stay organized, and work under pressure.
• Basic knowledge of U.S. medical insurance is a plus, but not mandatory.

Required skills

• Proficiency with Microsoft Office suite (Outlook, Excel, Word).
