Bilingual Patient Intake & Lead Conversion Specialist (Healthcare)

About the role

We are looking for a bilingual, sales‑focused Patient Intake and Lead Conversion Specialist to manage our inbound and outbound pipelines for a rehabilitation practice. The role blends healthcare sales with administrative intake, guiding Medicare‑age patients and their families from initial contact to booked physical‑therapy evaluations.

Key responsibilities

• Convert leads from phone, web, Meta ads, physician referrals, assisted‑living facilities and faxes into confirmed evaluation appointments.
• Respond to new leads within minutes using GoHighLevel (GHL) by phone and text.
• Engage prospects with a warm, consultative tone, addressing concerns and booking visits without sounding like a call‑center.
• Create and update patient cases in Prompt EMR, schedule visits according to clinic rules and provider availability.
• Maintain accurate GHL pipeline stages (New, Contacted, Booked, No‑Show, Nurture, Lost) to ensure visibility.
• Perform initial benefit verifications in coordination with the billing team.
• Coordinate with on‑site Patient Care Coordinators and assisted‑living directors to hand off ready patients.
• Utilize Prompt’s online scheduling and wait‑list tools, providing phone support for patients who need extra guidance.

Required profile

• Proven lead‑conversion experience in physical‑therapy, rehabilitation, dental, med‑spa or similar specialty‑healthcare settings.
• Comfort communicating with Medicare‑age adults and their adult children.
• Experience with healthcare VoIP platforms such as Weave.
• Working knowledge of Direct Access regulations and escalation procedures for complex insurance issues.
• Availability for a full‑time contractor schedule, Monday‑Friday 8:30 am‑5:30 pm EST.
