Group Function Coordinator – MICE Groups

About the role

The Group Function Coordinator for MICE (Meetings, Incentives, Conferences, Exhibitions) groups ensures that all operational outlines for meetings and incentive groups are prepared, distributed, and executed on time. You will act as the primary liaison between resort sales teams, clients, and internal operations to guarantee seamless event delivery.

Key responsibilities

• Prepare and send operational outlines to all parties at least 60 days before group arrival.
• Assist clients during the proposal phase with menus, décor, entertainment, and venue options.
• Coordinate conference calls and final confirmation calls between resorts and clients.
• Collect payments for add‑on events and ensure they are posted to invoices.
• Communicate rooming lists, room preferences, and flight details between sales and operations teams.
• Update group function sales kits and maintain current property knowledge.
• Visit each resort at least once a year and support special projects as requested.

Required profile

• Strong verbal, written, and listening communication skills.
• Excellent follow‑up and team‑working abilities.
• Willingness to travel frequently to the US and Caribbean.
• Valid travel documents for international travel.

Required skills

• Proficiency in Microsoft Word.
• Proficiency in Microsoft Excel.
