Intake Specialist

About the role

The Intake Specialist is the first point of contact for potential clients, shaping their initial impression of the firm. This role blends salesmanship, empathy, and attention to detail to evaluate cases, deliver exceptional service, and ensure a smooth transition into the firm’s legal process.

Key responsibilities

• Establish professional, empathetic rapport with prospects via phone, email, website, and referrals.
• Screen intake calls to assess case viability and capture client needs.
• Collaborate with the Intake Attorney to determine case suitability and schedule consultations.
• Transfer intake data from Slack to Lead Docket and maintain accurate records in Filevine, Dropbox, and other platforms.
• Monitor and resolve invalid leads daily, updating relevant Google Docs.
• Track case progress, schedule follow‑up calls, and ensure all lead activity is documented.
• Represent the firm’s brand with integrity, consistently follow up on inquiries, and meet or exceed monthly signup goals.

Required profile

• 2+ years experience in sales, client intake, or related roles.
• Fluent English (C1 level) with strong verbal and written communication.
• Comfortable speaking on the phone for extended periods and building rapport.
• Excellent interpersonal, organizational, and follow‑up abilities.
• Ability to thrive in a fast‑paced, goal‑oriented environment.

Required skills

• Experience with CRM or lead management systems.
• Familiarity with Filevine, Lead Docket, Slack, and Dropbox.
• High attention to detail and multitasking capability.
