Project Administrator – Property Maintenance

About the role

We are seeking a highly organized Project Administrator to support property maintenance operations. The role will coordinate vendors, manage service schedules, maintain accurate records, and assist with invoice processing, working closely with property managers and internal teams in San Pedro Sula.

Key responsibilities

• Coordinate maintenance schedules with vendors and property management teams.
• Communicate with HVAC and other service providers to arrange routine maintenance visits.
• Maintain accurate records of service appointments, vendor communications, and completed work.
• Document and track maintenance issues, irregularities, and outstanding items.
• Review and process vendor invoices and payment requests according to company procedures.
• Identify recurring maintenance concerns and escalate issues to senior management.
• Follow up on pending services, invoices, and maintenance‑related tasks.
• Provide clear updates and reports on scheduled services and outstanding issues.
• Provide administrative and project support to the property management team.

Required profile

• 1–3 years of experience in administration, project coordination, property management, facilities, operations, or a related field.
• Strong organizational and time‑management skills.
• Excellent attention to detail and follow‑up abilities.
• Strong written and verbal communication skills.
• Ability to coordinate with multiple stakeholders and manage competing priorities.
• Proactive, reliable, and comfortable working independently.

Required skills

• Proficiency with Microsoft Office.
• Proficiency with Google Workspace.
