Call Representative & Scheduler

About the role

The Call Representative & Scheduler provides professional telephone support to patients while coordinating appointments and provider schedules. This position serves as the primary point of contact for scheduling inquiries and general patient assistance in a fast‑paced medical environment.

Key responsibilities

• Answer inbound calls using a scripted approach, ensuring courteous and timely communication.
• Assist patients with general inquiries, provide practice policy information, and follow up on pending calls.
• Schedule appointments, procedures and follow‑ups based on provider availability, manage confirmations, cancellations and rescheduling.
• Maintain accurate provider schedules and resolve conflicts to avoid disruptions in care.
• Process appointment and medical‑record requests received via email and fax, and distribute documentation appropriately.
• Collaborate with medical assistants and front‑office staff to ensure seamless coordination of care.

Required profile

• College degree preferred.
• Bilingual in English and Spanish, with strong written and verbal communication skills.
• 1‑2 years of experience in a medical setting is preferred.
• Excellent telephone etiquette, ability to work independently and maintain patient confidentiality (HIPAA).

Required skills

• Proficiency with electronic medical record (EMR) systems.
• Data entry accuracy and speed.
• Basic computer skills and familiarity with standard office applications.
