Transaction Coordinator

About the role

We are seeking a proactive, detail‑oriented Transaction Coordinator to oversee short‑term rental (STR) real‑estate deals from initial lead through closing. The role focuses on managing Zillow‑generated leads, coordinating with agents, buyers, sellers and third‑party vendors, and ensuring all documentation is accurate and timely.

Key responsibilities

• Coordinate end‑to‑end STR transactions, from lead acquisition to closing.
• Assist in drafting, reviewing and managing purchase agreements and related contracts.
• Track and follow up on Zillow‑generated leads to support conversion.
• Serve as the central communication hub among co‑broking agents, buyers, sellers and third‑party vendors such as lenders, title companies and inspectors.
• Schedule and monitor home inspections, appraisals and other due‑diligence activities.
• Ensure all transaction documents are complete, accurate and submitted on schedule.
• Maintain organized transaction records and regularly update CRM systems.
• Monitor deadlines, contingencies and closing timelines to keep deals progressing smoothly.

Required profile

• Proven experience in real‑estate transaction coordination, preferably in STR markets.
• Strong understanding of contracts, real‑estate documentation and closing processes.
• Experience working with Zillow or similar online lead generation platforms.
• Excellent communication skills and ability to manage multiple stakeholders.
• High attention to detail and strong organizational abilities.
• Ability to thrive in a fast‑paced, deadline‑driven environment.
