Intake Specialist

About the role

We are looking for a proactive Intake Specialist to manage lead qualification and client intake for our fast‑paced legal practice. The role combines strong communication, a sales‑oriented mindset, and meticulous data handling to ensure every potential case is captured accurately and efficiently.

Key responsibilities

• Answer incoming calls, inquiries, and referrals, conducting structured intake interviews.
• Gather, verify, and document client and accident information with empathy and precision.
• Pre‑qualify cases against firm criteria and flag those that require escalation.
• Enter and organize case data in CRM or case‑management systems.
• Collect and upload supporting documentation such as reports, photos, insurance and medical records.
• Explain and obtain signed retainer agreements to convert qualified leads.
• Follow up on missed calls and leads to maximize conversion rates.
• Maintain confidentiality, accurate records, and compliance with firm policies.
• Coordinate with attorneys and case managers during case transitions and support continuous process improvements.

Required profile

• Experience in sales, customer support, or a legal environment.
• Excellent verbal and written communication skills.
• Ability to thrive in a fast‑paced, target‑driven setting.
• Strong organizational skills with high attention to detail.
• Capacity to multitask and manage multiple leads simultaneously.
• Proficiency in English at C2 level.
