Offshore Payroll Specialist – Multi-State US & Canada

About the role

We are looking for an experienced Offshore Payroll Specialist to manage end-to-end payroll for roughly 600 employees across multiple U.S. states and Canada. The role is fully remote and will work closely with HR, Finance and Benefits teams to ensure accurate, timely and compliant payroll processing.

Key responsibilities

• Process bi-weekly or semi-monthly payroll for ~600 employees in the U.S. and Canada.
• Maintain compliance with federal, state, local and Canadian payroll tax and wage-and-hour regulations.
• Reconcile payroll registers, tax filings, garnishments, benefit deductions and general-ledger entries.
• Validate payroll data against HRIS and time-keeping systems and resolve discrepancies.
• Serve as primary contact for employee payroll inquiries.
• Prepare payroll journal entries, variance reports and reconciliations for Finance, uploading data into NetSuite.
• Support quarter-end and year-end activities, including W-2 preparation and tax reconciliations.
• Assist with internal and external payroll audits.
• Partner with People and Benefits teams on new hires, terminations, leaves and deduction changes.
• Identify and implement process improvements to boost accuracy and efficiency.
• Reconcile employee travel card purchases for proper coding.

Required profile

• 3-5+ years of hands-on U.S. multi-state and Canada payroll processing experience.
• Strong knowledge of U.S. and Canadian payroll tax regulations and wage-and-hour laws.
• Experience supporting a remote/offshore team with overlap during U.S. business hours.
• Excellent written and verbal English communication skills.
• High attention to detail and ability to handle confidential data.

Required skills

• Proficiency with a major payroll/HRIS platform such as ADP, Workday, UKG or Paylocity.
• Advanced Excel skills for payroll reconciliation and reporting.
• Experience using NetSuite for journal entries and financial reporting.
